This policy explains how PGK Distributors Pty Ltd ATF PGK Distributors Unit Trust (ABN 86 493 535 058), trading as PGK Distribution ("PGK", "we", "us"), collects, uses, shares and protects personal information. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
What we collect
We only collect what we need to sell to you, deliver your orders and run trade accounts:
- Contact details: your name, email address and phone number.
- Business details: business name, ABN and the trade account you are linked to.
- Delivery details: delivery names and addresses you enter or save to your account.
- Orders: what you order, prices, your purchase order reference, notes, payment method and order history.
- Sign-in details: your password, which we store only in scrambled (hashed) form and can never read.
- Your preferences: for example whether you want to receive marketing emails.
- Technical information: your IP address, browser type and the pages you request, recorded in our server logs to keep the website secure and working.
We do not see or store your full card number. Card payments are entered on Stripe's secure payment page; we receive only a payment confirmation and reference.
How we collect it
Mostly directly from you: when you create an account, apply for a trade account, place an order, contact us, or speak to our staff. If you already buy from us on account, we also hold the details in our existing customer records. We may collect information about your business from public sources, such as the ABN Lookup register, when checking a trade account application.
How we use it
- To process, pick, deliver and invoice your orders, and to send you order confirmations and updates.
- To set up and manage your website login and trade account, including your pricing and payment terms.
- To arrange delivery of your orders.
- To answer enquiries, handle returns and warranty claims, and provide support.
- To prevent fraud, keep the website secure and fix problems.
- To meet our legal obligations, such as tax and accounting record keeping.
- To send you news and offers, but only if you have opted in. You can opt out at any time in My account, by using the unsubscribe link in any marketing email, or by contacting us.
Who we share it with
We do not sell or rent your personal information. We share it only with businesses that help us run our service, and only what they need:
- Datapel (our warehouse management and accounts system), which receives your orders and account details so we can pick, dispatch and invoice them.
- Stripe, which processes card payments.
- Freight carriers, which receive the delivery name, address and phone number for your order.
- Microsoft 365, which provides our email.
- Amazon Web Services, which hosts this website and its backups in Sydney, Australia.
- Our professional advisers (such as accountants and lawyers), and government authorities where the law requires it.
Information sent overseas
Some of these providers may store or process information outside Australia. For example, Stripe and Microsoft may process information in the United States and other countries where they operate. We take reasonable steps to make sure they protect it in line with the Australian Privacy Principles.
How we protect it
The website uses encrypted (HTTPS) connections. Passwords are hashed, staff each have their own login, and access to customer information is limited to the people who need it. This website and its backups are hosted in Australia. No system is completely secure, so please use a strong password and keep it to yourself.
How long we keep it
We keep account and order records for as long as your account is active and for seven years afterwards, in line with our tax and accounting record-keeping obligations. Server logs are kept for a short time only. When we no longer need information, we delete it or remove anything that identifies you.
Accessing and correcting your information
You can view and update most of your details in My account. You can also ask us for a copy of the personal information we hold about you, ask us to correct it, or ask us to close your account, using the contact details below. We will respond within 30 days. We may need to keep some records, such as past orders, for legal reasons.
Cookies
Our website uses a small number of cookies needed to sign you in and keep your cart. We do not use advertising or tracking cookies. See the cookie policy below.
